Using Contacts
Use Contacts for the first time
- Open Contacts
.

Do one of the following:
- To set up an online account to sync: Tap Add An Account and go to step 3.
- To open Contacts without creating an online account: Tap Done. This opens your Palm profile account, and you can start creating contacts in this account.

To set up an account that is listed, tap the account type, enter the account information, tap Sign in, and then tap Done.
Note If you are setting up an Exchange account, depending on the security requirements set up by the Exchange administrators, you may be required to enter a password or PIN that will be required to unlock the phone. If one is required, tap Set Password or Set Pin. Enter a password or PIN, and tap Done.
- To set up an account type that is not listed, tap Find More, tap an app, and follow the instructions onscreen to add the account.
Note If you sync Contacts with a Google online account, your phone syncs with your My Contacts list on gmail.com. If you sync Contacts with a Facebook, LinkedIn, or Yahoo! online account, you can view your contacts on your phone in the Contacts application, but you cannot add contacts to these online accounts from your phone. Similarly, if you change existing contacts in these accounts on your phone, the changes are not reflected in Facebook, LinkedIn, or Yahoo! on the web. Instead, your phone captures changes to your Facebook, LinkedIn, or Yahoo! contacts by creating a new contact in your default Contacts account (that includes your changes) and then linking the new contact to the original Facebook, LinkedIn, or Yahoo! contact.
Add an online account
- Open Contacts

- Open the application menu and tap Preferences & Accounts.
- Tap Add An Account.

To set up an account that is listed, tap the account type, enter the account information, tap Sign in, and then tap Done.
Note If you are setting up an Exchange account, depending on the security requirements set up by the Exchange administrators, you may be required to enter a password or PIN that will be required to unlock the phone. If one is required, tap Set Password or Set Pin. Enter a password or PIN, and tap Done.
- To set up an account type that is not listed, tap Find More, tap an app, and follow the instructions onscreen to add the account.
Delete an online account
If you synchronize Contacts with an online account, you can delete the account from Contacts. Deleting the account from Contacts also deletes the account’s contact entries from your phone.
Important Deleting an Exchange account stops synchronization of all your apps. Deleting another type of online account stops Contacts synchronization only—if you also sync calendar events or email messages with the deleted online account, those items continue to synchronize.
- Open Contacts

- Open the application menu and tap Preferences & Accounts.
- Tap Remove Account.
- Tap Remove Contact Account.
Create a contact
You can add a contact that synchronizes with one of your online accounts, such as Google or Exchange. You can also add a contact in the Palm Profile account, which does not synchronize with an online account but is backed up daily to your Palm Profile.
If you are using Contacts for the first time, you go through a few different steps to get or access the contacts on your phone (see Use Contacts for the first time ). Follow this procedure to add contacts directly on your phone after the first time you use Contacts.
- Open Contacts

- Tap
.
- (Optional) Tap the account button to the right of Name to change the account to which the new contact will be added.
- Tap fields to enter contact details, select a ringtone for that contact, add notes, or add birthday details for the contact. Scroll to see all of the fields available for contact info.

In some fields, such as New Phone Number, when you enter the information a label button appears on the right. Tap the button to change the label for your entry—for example, to identify a number as a mobile or work phone.
Tip Use the Reminder field to enter that important message or question you have for this contact. The next time you send or receive a call or a message to or from the contact on your phone, the reminder pops up on the screen. You can also add a reminder later (see Assign a reminder message to a contact).
Tip To insert a two-second pause in the dialing sequence, enter a T where you want the pause to appear. To insert a stop in the dialing sequence, enter a P where you want the stop to appear; to dial the next set of numbers after the stop, tap the screen.
- Tap Done.
Find a contact
You can find contacts easily by using Just Type directly from the Launcher or Card view, or by searching within the Contacts app.
- Open Card view or the Launcher
, or open Contacts .

Enter any of the following:
- First, middle, or last name
- First and last initial (no space between)
- Company
- Nickname
- If you have an Exchange account with a Global Address List, tap Global Address Lookup for more search options.
- In the search results, tap the contact name to see the details.Tap a phone number to dial it, an email address to send a message, and so on. If only the contact name is displayed, tap the name to display ways to get in touch
View, copy, or edit contact information
- Locate the contact using Just Type or searching within the Contacts app (see Find a contact).
- Tap the contact name.
- To copy a contact, open the application menu, tap Edit, and tap Copy All.

To edit a contact, tap Edit, and enter the new information.
Note In linked contacts (see Link and unlink contacts), each field contains an account button. When you enter new information such as a phone number, tap the account button and tap the account you want to assign that information to.
- To delete a piece of contact information, such as a phone number, throw the item off the side of the screen, and tap Delete.
- Tap Done.
Did you know? On devices that use a SIM card, you can copy contacts from your device to your SIM card and from your SIM card to your device (see Working with your SIM contacts ).
Add a photo to a contact
The photo you add appears onscreen when this contact calls you.

While creating (see Create a contact) or editing (see View, copy, or edit contact information) a contact, do one of the following:
- To add or change the photo in the default account: Tap
.
- In a linked contact, to add or change the photo of another account: Tap the account button in the upper-right corner and tap the other account (see Link and unlink contacts).

Do one of the following:
- To take a new photo: Tap New Photo.
- To use an existing photo: Tap the album containing the picture, and tap the picture.
Did you know? If you see a stack of photos in a contact, with a number attached to the stack, that's because it's a linked contact (see Link and unlink contacts).

(Optional) Do either or both of the following:
- To move the picture so a portion appears in the center: Tap and hold the picture, then drag. The portion in the onscreen box appears in the contact record.
- To zoom out or in on a part of the picture: Pinch in or out on the picture.
- Tap Attach Photo.
Add a ringtone to a contact
Select the ringtone you want to hear when this contact calls you.
- While creating (see Create a contact) or editing (see View, copy, or edit contact information) a contact, tap Set a ringtone.
- Tap
to preview the ringtone.
- Tap the ringtone. To use a music file as a ringtone, tap
and tap the file name.
- Tap Done.
Tip To change the ringtone for a contact, tap the ringtone and tap Change Ringtone. Tap Delete Ringtone to remove the ringtone from the list of available ringtones.
Assign a speed dial to a contact
You can assign a speed dial to any contact phone number. You can assign up to 26 speed dials.
Did you know? You cannot assign 1 (the E key) as a speed dial. The number 1 is reserved for dialing your voicemail system.
- Locate the contact using Just Type or searching within the Contacts app (see Find a contact).
- Tap the contact name.
- Open the application menu and tap Set speed dial.
- Tap the phone number you want to assign a speed dial to, and then tap the key to use as a speed dial. You may have to scroll to find the key you want.
Tip To assign a currently used speed dial key to a new number, follow the steps for setting a new speed dial for the new number. Tap the key to use in step 4, and tap Reassign To Undefined.
Tip To insert a two-second pause in the dialing sequence, enter a T where you want the pause to appear. To insert a stop in the dialing sequence, enter a P where you want the stop to appear; to dial the next set of numbers after the stop, tap the screen.
Tip To remove a speed dial from a number, open the contact, open the application menu and tap Set Speed Dial. Tap the number and tap Remove Speed Dial [key letter].
Assign a reminder message to a contact
If you have an important message or a question for a contact, you can enter a reminder right on your phone. The next time you and the contact are in touch—whether by phone call, email, text message or IM—the reminder pops up as a notification.
- Locate the contact using Just Type or searching within the Contacts app (see Find a contact).
- Tap the contact name.
- Open the application menu and tap Add Person Reminder.
- Enter the reminder.
Tip To remove a reminder message before it pops up as a notification, open the contact, open the application menu, and tap Add Person Reminder. Tap Clear Reminder
Use favorites in the Contacts app
When you type a name to search for someone in Contacts, favorites appear at the top of the search results. Tap the phone number, IM account name, or email address you want to use to communicate with this person.
To create favorites in the Contacts app, see Create and work with favorites .
Link and unlink contacts
The Synergy feature automatically links contacts from different accounts if it finds data in common between them. When your phone recognizes matching information in two contacts—for example, the same name and phone number—it automatically merges the info from the two records into a single view that displays all the contact information. For example, if you have a contact in Exchange and in Google for Emily Weeks, your phone links the contacts so that all of Emily’s info shows up on a single contact screen. You need to open just one view to see all of Emily’s info. The info remains separate in each of your online accounts; it’s just assembled in one view on your phone for your convenience.

If the automatic linking doesn’t link contacts you would like to be linked, or links contacts you want separate, you can manually link and unlink contacts.
To link contacts:
- Locate the contact using Just Type or searching within the Contacts app (see Find a contact).
- Tap the contact name.
- In the open entry, tap the contact name in the header, and tap Link more profiles.
- Search for the contact and tap it to link the two contacts.
Important To maintain the integrity of your contact data, it’s important that you link only one person’s contact info in different accounts. For example, if you have contact info for Emily Weeks in your Google, Facebook, Exchange, and Palm Profile accounts, go ahead and link all four contacts into a linked contact. But don't link Emily’s contact info with her sister Allison’s info.
Tip You can set one of the entries in a linked contact as the primary profile—the one that appears at the top of the linked contact entry. When you search for a contact, the search feature looks through primary profile information only. In the open contact, tap the name that is currently displayed to open the list of all the linked entries. Tap the contact you want to use as the primary profile, and tap Set As Primary Profile.
To unlink a contact:
- Locate the contact using Just Type or searching within the Contacts app (see Find a contact).
- Tap the contact name.
- In the open entry, tap the contact name in the header, and tap the contact you want to unlink.
- Tap Unlink This Profile.
Add a contact entry to the Launcher
Assign your favorite contacts to the Launcher, so you can open them directly from that location.
- Locate the contact using Just Type or searching within the Contacts app (see Find a contact).
- Tap the contact name.
- Open the application menu and tap Add To Launcher.
- (Optional) Edit the first and last name as you want them to appear in the Launcher.
- Tap Add To Launcher.
If the contact has a picture (see Add a photo to a contact), the picture appears as a Launcher icon. If the contact doesn’t have a picture, the contact name appears in the Launcher with a placeholder icon. Tap the real or placeholder icon to open the contact.
Tip To delete a contact from the Launcher, press and hold Option while tapping the contact in the Launcher, and then tap Delete.
Get in touch with a contact
You can get in touch with a contact easily by using Just Type directly from the Launcher or Card view, and you can also, and you can also get in touch with someone from within the Contacts app.
- Locate the contact using Just Type or searching within the Contacts app (see Find a contact).
- Tap the contact name.

Do any of the following:
- To call or send an email or instant message to that contact: Tap the appropriate field. For example, tap a phone number to call the contact.
- To send a text message: Tap
.
- To view the address on a map: Tap an address field.
Note If only the contact name is displayed, tap the name to display ways to get in touch.
Send contacts
You can send all contacts to a hands-free car kit (with Bluetooth), or send a contact using multimedia messaging (MMS) or email.
- Open Contacts
and open the application menu.
- To send all contacts, tap Send All To Car Kit. If a Bluetooth device is detected, all contacts are sent.

To send one contact, tap one of the following:
- Send To Car Kit: Your Bluetooth device needs to be on and detected.
- Send Via MMS: Messaging opens.
- Send Via Email: Email opens.
Delete a contact
If you delete a contact that is assigned to an online account, the contact is deleted in the online account also. However, if the contact information includes Messaging profiles, indicated by a , you cannot delete the contact because it has information required by the Messaging app.
- Locate the contact using Just Type or searching within the Contacts app (see Find a contact).
- Tap the contact name.

Do one of the following:
- Delete an unlinked contact or an entire linked contact: Open the application menu and tap Delete Contact. Tap Delete All Profiles to confirm.
- Delete one entry only in a linked contact: Tap the displayed contact name to open the list of all entries in the linked contact. Tap the entry you want and tap Delete This Profile.
Set Contacts preferences
- Open Contacts
.
- Open the application menu and tap Preferences & Accounts.

Set the following options:
- List Order: Tap to set how the contact list is sorted. If you select Last name, the names are alphabetized by last name, but they still appear in the Contacts list as first name followed by last name. If you select First name to sort on, names are alphabetized by first name. You can sort by Company & first name or Company & last name. In these cases, the company name is alphabetized, and within the company, whichever you choose, the names are still listed as first name followed by last name.
- Accounts: Tap an account to change login settings and sign in using the new settings.
- Default Account: Tap the current default account to change the default to another account. New contacts you create are assigned to this account unless you specify otherwise.
- Sync Now: Tap to manually synchronize your online accounts.
- Add An Account: Tap, and then tap an account type. Enter the account information. Before you can set up an account on your phone, you must already have an account online with the provider.
Manually sync Contacts
Contacts associated with a Microsoft Exchange server sync as items arrive. Contacts for Facebook, Google, and other online accounts sync every few hours up to only once a day. You can sync manually if you want to make sure your contacts are current.
- Open Contacts

- Open the application menu and tap Preferences & Accounts.
- Tap Sync Now.
